Steps to a quick, smooth entry

Be certain to follow these procedures for seamless clearance through customs and duties for your group or conference needs.

Duty exemption for convention goods

Duty exemption is at the discretion of and lies solely with H.M. Customs Officers. There is no exemption for items not guaranteed to leave the island, e.g. golf and tennis balls, food, candies and chocolates.

Required cover letter

All requests for customs clearance must begin with a covering letter that contains the following:

(a) Name of convention
(b) Official dates of convention
(c) Host hotel (property)
(d) List of items being imported for convention use and commercial value of each item (attach additional sheets if necessary)
(e) Statement that the items being imported are for presentation purposes and will be leaving with the participants
(f) Shipping information
  • Name of courier
  • Approximate date of shipping
  • Airway bill number, and if hand-carried, name of person(s) carrying items
  • Airline and flight number
  • Date of arrival

The covering letter must be on the letterhead of the company or organisation involved. Six copies of the cover letter should be addressed to the host hotel and should arrive at the hotel at least six weeks prior to your convention.

For visitors from the US

For hand-carried items, notify customs at the airport upon departure. US Customs will issue a Customs Certificate of Registration to verify that the items were purchased in the US.

Shipping

  • Shipping invoices must be clearly marked “Convention Materials” to avoid confusion when goods arrive at H.M. Customs Bermuda
  • Persons hand-carrying items should volunteer such information to the H.M. Customs Officer upon arrival. Failure to do so may result in having to pay duty
  • Your host hotel can usually arrange for Customs clearance and pick-up from the airport

Payment of customs duty

If any of the articles imported are not taken back or shipped back with the group, or are destroyed, duty will be payable through your hotel or organisation.
